LEA's SES timeline and procedures for enrollment (application process) for parents:
Parents were notified of the opportunity for their son/daughter to get ‘free’ SES tutoring in a letter dated July 28, 2010. Parents/students also have the opportunity to attend SES Vendor Fairs at their school in September 2010 and January 2011.
Notification of upcoming SES Vendor Fairs is sent to parents/student via students, mail, and telephone calls home. Information is also posted at the school sites, given during weekly Parent Orientations for new parents, and shared with parents at various other parent meetings and activities (Open House, Student Award Ceremonies, Parent-Teacher Conferences, PPEP UP Team/Site-based Council meetings, Annual Title I meetings, and Migrant Parent Advisory Council Meetings).
The deadlines for parents/students to request SES tutoring for their son/daughter are September 30, 2010 and January 31, 2011. After September 30th, the district will determine if a January SES Vendor Fair is necessary based upon the amount of parents/students who sign up. If January SES Vendor Fairs are necessary, the last day for parents/students to request SES services is January 31, 2010.
Parents/students will need to complete and sign the following forms and return them to their respective school:
- PTHS Provider Selection Form for SES Tutoring Services
- PTHS Transportation Form for SES Tutoring Services
Once the Director of Federal & State Programs has determined that the student is eligible and that there is enough funding to support the request, the SES Vendor is contracted. A meeting is then coordinated between the parent, student, SES Vendor, school, and Director of Federal & State Programs to complete and sign the Arizona Department of Education Supplemental Educational Services (SES) Agreement. After this process is complete, SES tutoring services can begin.
LEA's procedures for helping parents make informed decisions about their options:
PPEP TEC High School staff cannot market or support one SES Vendor over another to parents/students. PTHS staff can answer general questions about SES Vendors that is provided in the SES Vendor profile from the ADE website. A list of SES Vendors, which includes a basic outline of services, is given to parents/students during SES Vendor Fairs, and is available in the Parent Information Resource Center at each school. This information is also provided in Spanish. Furthermore, parents/students have to rank order at least 3 SES Vendor options on the PTHS Provider Selection Form.
PTHS always ensures translators are available for parents/students during parent & student activities.
